The current health situation and the regulations imposed to contain the pandemic have in many cases made it mandatory to submit a questionnaire to visitors in the context of Covid-19 prophylaxis.

To cope with the emergency, many companies have prepared paper forms to be filled in and signed at the reception: a solution that, in addition to not being effective, can involve risks related to potential violations of privacy.

To make this procedure efficient and compliant with the GDPR legislation, we have updated NextOne with a new feature developed to digitize the collection of information from visitors and collaborators before entering the company.

The new module allows you to:

  • Configure independently and with a large level of flexibility dynamic questionnaires to be submitted to visitors, which can be differentiated for each company reception (in the event that some accesses, such as unloading goods, require specific information) and translated into multiple languages
  • Perform automatic checks on the answers provided by the visitor and, if one of these does not correspond to the expected answer, report the anomaly to the staff who may not authorize entry or ask for further information
  • Manage responses in compliance with the GDPR legislation
  • Filter the check-in requests received based on the completion status of the questionnaire, helping the reception to manage peak times
  • Send the guest meeting requests complete with the questionnaire, defining how many days before the visit it is possible to answer questions

The wide flexibility of the module allows you to implement any type of questionnaire for visitors, making the functionality useful not only in this period but also in the future for any procedure that requires the collection of information before entering the company.
